Why PBGB HRMS Exists in the First Place

PBGB HRMS is an internal banking digital portal that Paschim Banga Gramin Bank employees use. Human Resource Management System is a fully online web-based application to manage employee accounts. As per its name, it helps to control all HR Stuff such as salary slips, leave, PF details, and other HR functions. You are a staff member; this portal is your digital workplace.

Instead of calling and reaching out to HR every time for small tasks, now you can log in just using your employee ID and access the way daily HR works, such as downloading salary slips or applying for leave.

This is why the HRMS matters: it saves a lot of time and is easily accessible from any smartphone or desktop PC.

After the “One State, One RRB” policy, Paschim Banga Gramin Bank merged and got a new name, West Bengal Gramin Bank, so its HR system was also updated with the new Name WBGB HRMS Portal version 2.0.

When Do You Need PBGB HRMS?

PBGB HRMS is a staff-only portal, and it is powered by Natural Group and currently uses version number 8.30. It requires for multiple works, such as –

1. Download salary slips and PF statements.
2. Check leave balances and apply for leave.
3. Checking salary and allowances
4. Updating personal information like mobile number, Email ID, or PAN.
5. New Projects and functionalities
6. Accessing PF, loan, and service-related records.
7. Tax management and PDF files
8. Checking any pending HR requests
9. Update personal details like phone and email.
10. Access internal circulars and training materials.

For WBGB employees, the portal works in a similar way. Since WBGB was merged and aligned. But the system functions under PBGB HRMS today.

Who Can Use this Portal and Who Cannot?

• Employees of PBGB – permanent, probation, or temporary staff
• WBGB employees – after the merger, their records are also maintained here
• Retired staff – in some cases, pension details can also be tracked
• HR/Admin team – to update records and manage employee requests

So, if you are a staff member or a new employee, you will need your employee code (User ID) and the registered mobile number to log in.

Cannot Use:

• General public or bank customers (they must use wbgb.co.in).
• Family members of staff (unless given proxy access by HR).
• Unauthorised third parties (risk of account lock).
• Any partner of West Bengal Gramin Bank

Where to Find the Right HRMS Login Link

Here’s where most employees make mistakes—they Google “PBGB HRMS” and click the first result. Many of those are outdated or even risky.

Here –

• Always use the official HRMS link shared in HR circulars or via your branch IT team.
• Bookmark it in your browser or download the HRMS App by PBGB.
• Don’t use public cybercafes or shared PCs.

How to Register for PBGB HRMS the First Time

Unlike customers of PBGB or WBGB, there is no Register New User button on the HRMS Portal. It’s important to follow the correct steps. Since there is no direct online visible option on the portal, the registration process usually involves coordination with your HR department. Here’s a simple guide to help you:

1. First of all, you have to contact your branch HR officer or the Bank HR Division. They are the only ones who set up the first login ID for you. If you are a new employee or a migrated one, the process is the same.
2. They enable online access first, then provide your employee details, including employee ID, linked mobile number, and email ID.
3. Get your temporary login. HR will generate your User ID and a temporary password. (most cases)
4. Sometimes, they just give your employee ID and tell tap on Set password by using the portal.
5. Make sure your email, mobile number, Aadhaar, and PAN are updated. This is basic because future password resets or communication will go to these registered details.

Now, the steps required on the online Portal

1. Collect your User ID and open the HRMS link on Chrome/Edge browser.
2. Enter your employee ID and tap on forget password
3. Here, provide your eHR Registered Mobile Number and tap on send OTP.
4. Type your received OTP, set up security questions (for future recovery)
5. Create a strong password and update your profile information accordingly. (branch, reporting officer and name.)

Important point – Without HR approval, you cannot self-register. The portal is strictly for verified employees.

What is an Employee ID in PBGB HRMS?

Every PBGB employee is given a unique Employee ID. This ID:

• Acts as your username for HRMS.
• Helps HR track salary, transfers, and benefits.
• It is required for password reset or grievance support.

If you don’t know your Employee ID, you can find it on your appointment letter, salary slip, ID Card, or ask your HR officer.

Where and how to log in to the portal correctly –

This is very important. Employees must use only the official HRMS link.

How to Log in to HRMS

1. Go to the official WBGB HRMS portal.
2. Enter your Employee ID (User ID) correctly without spaces or symbols.
3. Enter your temporary or old Password.
4. Type the Captcha shown on screen.
5. Tap on Login.

For first-time users, you will have to set up a few details, such as security questions, a strong new password, mobile OTP, and more.

How to Reset Forgotten PBGB HRMS Password

By default, after 3 months, PBGB ask to create a new password, which creates the issue of forgetting the old password; however, here are the steps to reset it –

1. On the login dashboard, you will see forget password just under the user ID section.
2. Open it, and here you can reset using any of these methods –
   • Registered Email
   • Registered Mobile Number
   • Last 6 digits of Aadhaar, OR
   • Last 6 digits of PAN card
3. After choosing and entering details, now, tap on the reset password button.
4. Here, verify your account via mobile OTP or security questions.
5. All set, now set a new password and log in.

When to Use HRMS

• Leave Applications – Apply at least 2–3 days in advance (except emergencies)
• Salary Slips – Usually available by the last working day of the month
• Expense Claims – Submit immediately after travel/expense
• Profile Updates – Update mobile/email/bank details immediately

Some employees feared the merger would disrupt HRMS access. But the truth is—it’s still working as fine as before. The HRMS backend remains the same PNB-sponsored platform; only the name changed from PBGB HRMS to WBGB HRMS.

So, whether you’re a new recruit or an ex-PBGB officer, your data and login are intact.
